Sign the rental agreement before the truck is loaded

Get the rental agreement e-signed and the renter's card on autopay before you load the truck, not at the top of a third-floor stairwell.

DrumFleet washer and dryer rental agreement template, ready for renters to e-sign before delivery

The worst time to find a missing signature is the top of a third-floor stairwell with a washer on the dolly.

You already drove across town. The renter is friendly and says they're good for it. The agreement is still a Word doc in your drafts, or it got signed on a phone with half the lines skimmed. You install anyway, because turning around feels ridiculous. Six weeks later the card declines, they stop answering, and the paperwork you're holding doesn't say what you thought it said.

That Saturday is optional. The fix is boring and it happens before the truck leaves.

Agree on what's in the paper before you drive

We're not going to tell you which terms to put in your agreement. That's between you and your own attorney, and it varies by state. What we can say is practical: whatever your terms are, the renter should see and sign them before delivery day, not after.

Our annotated rental agreement template is a starting point for that conversation, not a substitute for it.

Paper works until volume doesn't. At a handful of renters, printing and chasing wet-ink signatures is annoying. At a few dozen, you end up with three versions of the same agreement and no idea who signed which.

How it goes wrong

A yes over Marketplace messages. "I'll sign when you get here." You install first because the parking spot is a tow zone and the elevator is out. The agreement is supposed to happen tonight, and tonight becomes never.

One operator we follow describes doing it in the other order: ID and card checked at the install, on a form on a tablet, with the card charged as the install wraps up. Whether you use a tablet or a link, the point is the same. The paperwork and the payment exist before you walk away.

Two minutes on their phone

Send a link. The renter signs on their phone, the signed agreement is filed with the renter, and their card goes on autopay through your own Stripe account. You don't load the truck until that's done.

Still on paper? Keep the same order anyway: signed and filed in the van folder before the dolly comes out. The tool is optional. The order isn't.

If you want the order built in

We built DrumFleet because we run a rental business too. Renters sign online, autopay runs through your own Stripe account, and every machine is logged with photos. Try it free for 14 days, no card, or grab the agreement template and keep the sequence by hand.

Either way, the stairwell is a bad place to sign anything.

Built on a working fleet

Four things generic rental software gets wrong.

We built DrumFleet as operators: our founder runs a washer-and-dryer rental business in northern Utah. It shows in the details — and every one of these is checkable inside the free trial.

Autopay starts on install day.
Not on signup, not on the 1st. The first invoice carries rent plus deposit plus delivery, then the cycle settles onto the billing day you chose.
The contract knows about relocation.
Minimum term, relocation fee, retrieval clause, ID on file. Renters move, and the paperwork either survives that or it doesn't.
Payback is tracked per machine.
What you paid, what it has earned, and the month it crossed over. This is the number the business actually runs on, and almost nothing else reports it.
A failed card starts a ladder, not a silence.
Retry, flag, then a dunning sequence on day 0, 3 and 7 — inside the grace window you set, before the retrieval clause is in play.

Rent out more machines with less chasing.

Autopay, e-signed contracts and every machine tracked from your phone. Free for 14 days, no card.
